Chaperone Information
Parent chaperones are a necessary part of the trip's success. Below are the most common Q & A's regarding the trip.
What is the role of the parent chaperone? Each chaperone will be responsible for his/her child and two friends. Chaperones are responsible for monitoring the students during any "down" time--all meals, hotel room, exploring River Street and/or City Market when organized activities are not scheduled, etc. Anytime there is not a coordinated activity, the parent chaperone will be with the students. The parent chaperone is expected to sleep in the same bed as his/her child with the other two students sharing the other bed in the hotel room.
Do chaperones need a background check? Yes. All chaperones must pass a background check through the BCSS portal. The instructions/information for completing the background check is available HERE.
How many chaperones will be needed? The number of chaperones is determined by the number and gender of students going on the trip. Boys must have a dad in their room, and girls must have a mom. Once the list is finalized, students will choose their roommates and decide on a chaperone at that time--usually around the middle of March. Each room MUST have a parent chaperone.
Do parent chaperones ride the bus with students? If there is room on the bus, parents may be extended the opportunity to ride with the students and teachers, but this cannot be guaranteed until the list is finalized. Most of the time, parents choose to drive and follow the buses. Also, parents often carpool to split the costs associated with driving.
Is there a fee for parent chaperones? Yes. Parent chaperones must pay $200 for their portion of the trip, but that does not include parking at the Hyatt, which is $48 per night. This year, we have about 15 spots for parents who wish to ride the charter bus. The cost for riding the bus is $250.
What activities are included in the parent fee? The parent fee covers a portion of the room cost and all activities EXCEPT the riverboat cruise and possibly the dolphin cruise on Tybee. Parents are NOT permitted to attend the Riverboat cruise event on Friday night, and due to our increased number of students, we may not have space on the dolphin cruise.
Are parents required to chaperone any scheduled tours/activities? Absolutely not... but parents are welcome and their fee includes the cost of the activities whether they choose to attend or not. Teachers are in charge of all organized activities. In the past, parents have chosen to go to some events or none of them. For example, students will be in the care of the teachers on Saturday afternoon from approximately 12:45-6:30p. Some parents have chosen to play golf, go shopping, or go to the spa. We do need help from parents at the beach party on Saturday afternoon if possible, but this is not required.
Please note: Since this is a school sponsored field trip, please understand that parent chaperones should NOT drink alcohol or be under the influence of alcohol in the presence of the students. Our students' safety and well-being are our priority, and in the event of an emergency, we cannot worry that parents are unable to care for students in need.
